AI Usage Disclosure

Recognising an experience. When you describe something you have done, a model reads what you wrote and suggests capabilities the experience might relate to. Each suggestion is a candidate only, and you confirm or reject it. Confirming a suggestion does not mean you have demonstrated the capability.

Assessing evidence. When you submit evidence, a model assesses it against the defined criteria for that capability and records which criteria were met, which were not, and why.

Privacy screening. A model scans evidence for obvious personal or confidential information and flags it for you before anything can be shared. This is a safeguard, not a guarantee.

GradWIN Coach. A narrow assistant that answers questions about GradWIN and career readiness. It receives a small summary of your account — your first name, course, Career DNA archetype, current WIN Path, evidence counts and last action — plus the recent messages in that conversation. It cannot see your evidence files, your private messages, or any other student’s information.

Career definition research. Our team uses AI to help gather and draft career definitions from published employer and sector sources. Every source is recorded, and no definition becomes live without a named human approval.

• AI cannot verify who wrote something. GradWIN does not check authorship.
• AI cannot detect plagiarism, and does not attempt to.
• AI cannot detect whether you used AI. GradWIN makes no such claim about any submission.
• AI cannot decide that you have demonstrated a capability without evidence assessed against defined criteria.
• AI cannot raise the assurance level of a piece of evidence. Assurance comes from where evidence originated and who independently confirmed it.
• AI cannot approve a career definition, a capability or its criteria. Only a named, authorised person at GradWIN can.
• AI cannot suspend an account or make a final moderation decision.
• AI cannot decide who sees your information. Sharing is your decision and is enforced in the database.

An assessment is GradWIN’s judgement of a specific piece of evidence against specific defined criteria, at a point in time. It is not a qualification, not an accreditation, and not a statement about you as a person.

Where GradWIN has not seen something, that is a gap in the evidence, not a gap in you. Unknown does not mean deficient.

• criteria and career definitions are approved by a named person, with the sources and the reasons recorded
• material changes create a new version rather than silently rewriting an approved one
• moderation enforcement and account actions are decided by people
• you can ask us to review any assessment you think is wrong

AI output can be wrong, incomplete, out of date or biased. Anything AI helps you produce is a draft. Before you rely on it or put it in front of an employer:

• read it carefully and put it in your own words
• check every fact, date, employer name and claim
• remove anything that overstates what you did

Coach gives general guidance about GradWIN and career readiness. It is not legal, medical, financial, immigration or mental-health advice, and it does not guarantee any employment outcome.

• your Coach conversations are not stored by GradWIN; we keep only technical records such as topic, whether the request was allowed, duration and model used
• your content is not used to train third-party foundation models
• AI requests are scoped to the specific task, not to your whole account
• AI processing is carried out by a third-party model provider via our AI gateway, which may involve processing outside Australia

Recognition, assessment and privacy screening are core to how GradWIN works, so there is no way to use those features with AI switched off. If you would rather not have AI read something, do not submit it.

Today GradWIN routes model requests through an AI gateway to Google Gemini models. The specific model for a given feature may change as quality improves. If the privacy posture of a change is material, we will update this page.
